Start with your specification, not the price

Write down what you actually need: botanical name, plant part, mesh, colour range, moisture limit and the documents your quality team requires. A supplier who asks you for these details is usually more reliable than one who quotes instantly without them.

Ask for a representative sample

Test the sample in your real formulation, not just visually. Keep a retained portion so the bulk lot can be compared against it on arrival. Confirm whether the sample comes from the same lot that will be dispatched.

Understand documentation honestly

Many traders source from several processors. Ask what documentation is available for the specific lot — COA, batch details or test reports — and who issued it. Be cautious of suppliers who claim every certification without being able to show the document for your batch.

Check MOQ, consistency and communication

A practical MOQ lets you trial before scaling. Ask how the supplier handles repeat orders and lot-to-lot variation. Finally, judge responsiveness: a supplier who answers clearly on WhatsApp or phone during the enquiry stage is more likely to do so when a delivery matters.
